Hot Desking 101: How to Make the Most of Shared Workspaces

Are you looking to adopt a more hybrid approach to the workspace? Hot desking is one way to optimize space allocation within your office space. In this post we will dive into some advantages and disadvantages of hot desking, to allow you to make the most informed choices.

Hybrid workspaces have become popular in recent years, and hot desking is one strategy that businesses are implementing to help support their employees. Hot desking works by allowing employees to reserve workspaces and in-house resources for days when they are in the office. This could work particularly well if you need employees who only need to come into the office a couple of days a week or on a part-time schedule.

Here are some of the advantages and disadvantages of hot desking, let’s see if this is something that is right for you and your company.

Advantages

1.    Maximize your space

Because hot desking eliminates the need for permanent individual workstations, more space becomes available for meeting rooms and collaboration areas. Hot desking allows companies to make more efficient and creative use of their workspaces, this works especially well if you have limited space.

2.    Collaboration and team building

Hot desking allows individuals who may be collaborating on a project to book spaces next to each other, helping facilitate teamwork. Common spaces also allow for more team-building experiences and activities. Employees can come into work with the peace of mind knowing that their allocated space is booked and their area meets the requirements for their given project.
Because hot desking is not for everyone, here are some of the disadvantages that one should consider.

Disadvantages

1.    Requires management

Hot desking requires time and management to ensure everyone has a station available to them and to prevent double booking spots. Companies that choose to incorporate hot desking should use the various management apps out there to keep track of who is coming into the office and where they have opted to sit. Various apps are available through Microsoft, Cisco, Zoom as well as OfficeSpace, Envoy and WorkinSync.

2.  Loss of self-expression

Hot desking eliminates permanent workstations, so employees won’t have the opportunity to personalize their own space. We know that people who do spend a lot of time in the office like to personalize their space, to make themselves feel more comfortable and productive. While this might not like a big deal for some, it could be a major factor to consider.

3.  Limited access to vital appliances

Because employees don’t have a permanent workstation when utilizing hot desking, access to vital devices like multiple monitors, a high-quality camera and headset (for virtual meetings), or even a desk phone, will be limited. If you decide to use hot desking in your workspace, you may need to plan out certain areas that have easy access to these devices. Otherwise, employees may need to bring these devices from home.

Summing up

Hot desking may be the perfect fit for your office if you’re looking to maximize space and give your employees some flexibility. But every office is different and if you have plenty of room, you may not need to use hot desking.
